Terms of Service

Eligibility and Enrolment

1.

We provide tutoring services for students from Kindergarten to Year 12 who are studying under the NSW curriculum.

Students under 18 must receive permission from a parent or legal guardian to enrol. By booking and proceeding with a tutoring session for a student under the age of 18, the parent or guardian confirms that they consent to the student receiving tutoring and agree to these terms of services on their behalf.

Enrolment is confirmed once the tutoring arrangement has been agreed and any required payment has been received.

Scope of Services

2.

Headway provides support for students in relation to current schoolwork, homework, assessments and exam preparation. This may include reviewing class content, revising key concepts or working through homework questions and/or take-home assessment tasks. Exam preparation may include guided support through past examination papers and practice questions, or working on practice essays and scaffolds.

Tutors also provide general mentorship and guidance on organisation, revision and study strategies, and exam preparation skills.

At the request of the parent or guardian, tutors may set additional homework or practice questions for the student to complete between lessons. Any additional work will be provided at the tutor’s discretion and will depend on the student’s needs and available resources.

Headway does not operate according to a fixed homework program or strict lesson structure, and does not currently provide custom-created homework resources as a standard part of its services. Lessons are generally tailored towards the student’s learning needs and priorities.

Cancellations, Rescheduling and Refunds

3.

Clients are required to provide at least 6 hours notice for the cancellation or rescheduling of a scheduled lesson. Lessons my be rescheduled for any reason, including illness, misadventure, holiday or emergency.

With the exception of emergencies:

  • If a client fails to provide at least 6 hours’ notice of cancellation, 50% of the lesson fee will be charged.

  • If a client fails to provide at least 1 hours’ notice of cancellation or misses a lesson entirely, 100% of the lesson fee will be charged.

Rescheduling is to occur directly with the tutor and is subject to the tutor’s availability. Lesson scheduling is otherwise flexible and may be adjusted by agreement between the client and the tutor.

Lesson Packages

4.

Headway offers Lesson Packages that allow clients to purchase tutoring credit in advance. This credit can be used to schedule lessons flexibility, subject to tutor availability and these terms of service.

The client will receive an update at the end of each week outlining their hours used during that week, and the remaining hours for all active Lesson Packages. Any unused hours during the term will roll over to the holidays and following term without interruption.

If a client has multiple tutors, they must purchase a separate Lesson Package for each tutor. For a given tutor, the same Lesson Package can be used to schedule lessons for any number of subjects.

Clients may cancel an active lesson package at any time, provided that reasonable notice is given. A full refund will be provided for all unused credit remaining in the package.

If a client wishes to transfer an existing package to a new lesson format (e.g. changing from in-person tutoring to online tutoring), the remaining value of the existing package will be refunded and the client will be invoiced separately for the new package.

Payment Terms

5.

Invoices will be issued upon the arrangement of a trial lesson or the commencement of a new Lesson Package.

The only accepted payment option is bank transfer. Invoices must be paid within 14 days of the due date. If they are not paid within 14 days, an additional handling fee of $15 will be applied.

Fee Inclusions and Exclusions

6.

Unless otherwise agreed in writing, the quoted Lesson Package fee includes:

  • The delivery of the scheduled lessons.

  • Preparation that is reasonably required for and directly connected to each session (e.g. general lesson planning and preparation of brief lesson notes and resources).

  • Travel to the lesson (applicable to at-home lessons).

Additional support including the creation of extra homework, extensive marking or unlimited contact with the tutor outside of scheduled lessons may be offered at the tutors discretion and are not included in the lesson fee.

Notice of Fee Changes

7.

We may vary our fees, pricing structure or billing arrangements by giving you at least four weeks’ written notice prior to the effective date of the change.

Any existing lesson packages commenced before the effective date of the fee change will not be affected. Lesson Packages which commence following the effective date will be billed according to the updated rates.

Academic Integrity

8.

Headway’s tutoring supports students’ learning, but does not involve the completion of assignments or any assessed work on behalf of students. Headway reserves the right to refuse assistance where a request seems to involve plagiarism, cheating or any form of academic misconduct.

Students remain responsible for ensuring that any work they submit is their own and complies with the academic integrity requirements of their school or examination authority.

Communications

9.

Headway will communicate with clients using the contact details provided at enrolment or booking.

Clients are encouraged to contact Headway by email at any time with questions, concerns, feedback or to communicate regarding bookings, payments or lesson arrangements. Within reasonable working hours, we will respond to all messages in a timely manner.

By booking tutoring services, clients agree to receive communications from Headway including invoices, Lesson Package updates, service updates, policy changes, administrative matters and promotion.
